We are seeking a highly organized and detail-oriented Document Controller to join our team. The Document Controller will be responsible for managing and controlling documents for multiple projects and tenders. This role involves receiving, reviewing, and distributing project documentation in accordance with company and client procedures.
Key Responsibilities:
- Receive, register, and distribute client and vendor documentation.
- Allocate document numbering and maintain project documentation.
- Review and prepare document transmittals; validate documents against transmittals.
- Electronically and manually stamp documents; distribute via system notifications or email.
- Create jobs for projects and tenders, assign distribution, and record tasks for reporting.
- Conduct weekly internal audits of completed tasks.
- Acknowledge and return transmittals and addendums via email or client portal.
- Compile Manufacturers Data Reports (MDR) and ensure adherence to standards.
- Follow company policies and procedures for document processing.
Qualifications:
- Bachelor's degree or equivalent.
- Minimum of three (3) years’ experience in document control or records management.
- Experience with various file types and multi-discipline documents.
- Basic understanding of construction and fabrication documents.
- Experience in a construction and fabrication environment, preferably in mining, infrastructure, and oil and gas.
- Proficient in MS Office suite and any document control software; excellent problem-solving, analytical, and communication skills.
- Knowledgeable in Aconex, EDMS system and SharePoint is a plus.
- Willing to work in the office full-time at Arcovia City, Brgy. Ugong, Pasig City.
